This article explains how the Ardens Pregnancy Vaccinations resources can support practices in delivering and recording pertussis and respiratory syncytial virus (RSV) vaccinations during pregnancy. By the end of this article, you will understand how to access and use the available resources throughout the pregnancy vaccination pathway.
Background
Vaccinations offered during pregnancy help protect pregnant women and their babies against serious infectious diseases. GP practices play an important role in identifying eligible patients, offering vaccination at the appropriate stage of pregnancy, accurately recording vaccination outcomes and monitoring uptake.

🗓️ Plan
Before sending out any invites, we recommend reviewing the following reports. These will help you to identify your eligible patients and ensure your invite lists are accurate and clinically appropriate.
Cohort
Use these reports to estimate vaccine demand and plan stock orders. They are not intended for sending invitations. These results include all patients in each eligible group, regardless of whether they have already been vaccinated or have declined a vaccination.
Due
These reports identify patients who currently require vaccination. Patients are automatically removed once the vaccination is recorded or another appropriate outcome.
Review Before
The Review before reports identify patients whose records should be checked before an invitation is sent. These reports help ensure vaccination remains clinically appropriate.
The reports include:
Check if still pregnant: Identifies patients previously recorded as pregnant whose current pregnancy status should be confirmed before an invitation is sent.
Pregnancy coded after last RSV invite: Identifies patients with a new pregnancy recorded after their most recent RSV invitation. As RSV vaccination is recommended during each pregnancy, these patients may now be eligible for another vaccination.

✉️Notify
These resources help GP practices manage vaccinations by identifying eligible patients and supporting invitation and follow-up activity.
Invites
Reports are available for first, second and third invitations and patients automatically progress through the invitation flow as the appropriate invitation codes are recorded.
As gestational age cannot be reliably reported within these searches, practices should confirm that the patient is at the appropriate stage of pregnancy before sending an invitation.
Pertussis
The Pertussis Invite reports identify pregnant patients who are eligible for pertussis vaccination. Practices should check that the patient is at least 16 weeks pregnant before inviting them for vaccination, as indicated within the report names.
RSV
For RSV, use the reports under Due as currently pregnant to identify pregnant patients who are due each invitation.
⚠️ Please note: If a patient appears unexpectedly in an RSV pregnancy report, check the relevant cohort / review reports and the patient record before inviting, as historic or newly entered pregnancy coding can affect which report they appear in.

Invitation Flow
Recording the appropriate invitation code moves the patient through the invitation flow. Patients will not appear in the next invitation report until two weeks after the previous invitation has been recorded, helping to ensure there is an appropriate interval between invitations.
Visits
Separate visit reports are provided for housebound and care home residents so practices can use the list of patients to support administration outside of the practice.
⚠️Please note: The RSV Visits reports are shared across the pregnancy and routine adult RSV programmes and are not divided by eligibility pathway. When using these reports for pregnancy vaccinations, review the patient’s record to confirm that they are currently pregnant and eligible for vaccination at the appropriate stage of pregnancy before arranging a visit.

The reports display details such as the patients' contact details, contact preference and any reasonable adjustments. It can also be exported as a CSV file for further filtering and to send batch messages to third-party platforms. Access this support article for additional information on how to do this.

💉 Deliver
To support vaccine delivery and ensure accurate coding, a template is available to enable consistent and efficient documentation.
Template
Enables the recording of the vaccination, along with consent, contraindication and declines. Recording the vaccination or outcome through the Ardens template helps ensure the correct vaccine and outcome codes are captured, so the patient is removed from the relevant Due, Invite and Review reports where appropriate.
📈 Evaluate
These resources help practices manage and monitor the vaccination programmes by tracking vaccination uptake and providing dashboards that enable more effective analysis and targeting of patient groups.
Activity
The Activity reports provide a summary of recent vaccination and invitation activity, helping practices review programme delivery and monitor performance.
⚠️ Please note: The RSV Activity reports cover the wider RSV vaccination programme and are not specific to pregnancy. Results may therefore include patients vaccinated through the routine adult RSV programme.
Review
The Review reports identify patients whose vaccination records may require further review after activity has been recorded. They highlight potential recording issues where additional information or coding may be required.
Uptake
The Uptake folder contains the Pertussis vaccine uptake | Given or exception – All report. This report identifies currently pregnant patients who have either received a pertussis vaccination or have an appropriate exception recorded within the relevant timeframe.
It can be used to review recorded vaccination outcomes across the current pregnancy cohort, including patients who have received the vaccination and those who are no longer expected to receive it due to a refusal, decline, contraindication or allergy.

❓FAQs
Can I record vaccinations administered by another provider?
Yes, vaccinations given elsewhere can still be added to the patient record, but practices should use the appropriate recording route for their system and workflow. If the vaccination was not given in-practice, avoid creating a duplicate in-practice administration entry. Recording the outcome correctly helps ensure invite, due and review reports update as expected.
How do I identify pregnant patients who still require vaccination?
Use Due reports to identify who currently needs vaccination. Use the Invite reports to manage first, second and third invitation stages. For RSV, check Review before first where pregnancy status may need confirming.
Can I monitor vaccination activity and uptake?
Yes. The Evaluate reports can be used to review vaccination and invitation activity, recorded outcomes and uptake across the eligible pregnancy cohorts.
What if a patient declines vaccination?
Record the declined vaccination using the appropriate option within the clinical template. The patient will then be removed from the relevant Due and invitation reports in line with the report criteria.
Do I need to record pertussis more than once in the template?
No follow the template and record the vaccination using the appropriate fields/options provided. Avoid creating duplicate entries, as incorrect recording can affect payment, activity and review reports.
